Security & privacy — the actual controls

Eyeglass-Man EMR is designed for local-first privacy: patient records are stored on systems controlled by your practice rather than on LookyBox cloud servers. Local storage by itself is not security, and it is not HIPAA compliance — so here is precisely what the software does, what stays on your side, and what is still being built.

Data location● BUILT INAll records live in a SQLite database and document folders inside the app's data folder on your practice's Mac. LookyBox runs no server that receives patient data. The only outbound connection is the license check-in during the 30-day guarantee window; after that the license is sealed and the app never phones home.
Encryption at rest◐ YOUR SIDE○ PLANNEDThe database file is protected by macOS FileVault full-disk encryption when FileVault is on (System Settings → Privacy & Security). Turn it on for every Mac that runs the EMR. In-app database encryption is planned.
Encryption in transit◐ YOUR SIDE○ PLANNEDThe EMR serves the other devices in your office (front desk, tablets) over your local network only and is never exposed to the internet. That local traffic is plain HTTP today, so run the EMR on a private, password-protected office network — never guest Wi-Fi. HTTPS on the local network is planned.
Account permissions● BUILT INSeparate Doctor, Front-desk and Patient (kiosk) accounts. Every server route checks the role: exams, clinical notes and backups are doctor-only, and deleting a patient additionally requires a staff password.
Password policy● BUILT IN◐ YOUR SIDE○ PLANNEDPasswords are stored as bcrypt hashes, never in plain text. The app ships with starter accounts — change those passwords on day one and use long, unique ones. The software does not yet enforce complexity rules or lock accounts after failed attempts; both are planned.
Sessions● BUILT INSign-ins expire after 8 hours. Session cookies are HttpOnly and SameSite=Strict, which blocks the common script-theft and cross-site request attacks.
Device security● BUILT IN◐ YOUR SIDEA device access code must be entered before any browser on your network can open the EMR. On top of that, use separate macOS user accounts, automatic screen lock and FileVault on every machine that touches patient data.
Backups● BUILT IN◐ YOUR SIDEOne click creates a timestamped backup folder on the Desktop — database, uploaded documents and scans — and keeps the five most recent. Copy that folder to an encrypted external drive or Time Machine that stays in the office. Never email it or put it in iCloud Drive.
Data export● BUILT IN○ PLANNEDThe backup folder is a complete, open-format export: standard SQLite plus your original files, readable by any tool — no vendor lock-in. Spreadsheet (CSV) export of patient lists is planned.
Audit logging◐ PARTIAL○ PLANNEDPrescriptions and referrals keep a snapshot audit trail of what was issued and when. A full server-side access log — who viewed or edited which chart — is planned.
Disaster recovery● BUILT INEvery backup folder contains step-by-step restore instructions: install the EMR on a replacement Mac, copy the folder in, relaunch. Patients, exams and scanned documents return.
HIPAA◐ YOUR SIDEHIPAA compliance is a set of policies your practice maintains — risk analysis, staff training, access rules. Software supports it but cannot deliver it alone. Because no PHI reaches LookyBox, there is nothing for a business-associate agreement to cover; note that in your risk analysis.
