Why practices switch
Cloud EHRs cost $500–800/month per doctor, forever — $30,000+ over five years. This is one payment.
If your internet dies — or we do — your software keeps working and your charts stay in your hands.
Built behind a phoropter by a practicing optometrist, not in Silicon Valley.

Product description — real screenshots
This is the actual software, photographed running live. What you see is what you install.
Patient Directory — every patient, searchable by name, phone, DOB, insurance. One-click new forms, editing, and Excel import.Patient Profile & Documents — driver's license, insurance cards, signed agreements and signatures, photographed or scanned straight into the chart. Stored on your computer, never the cloud.Secure sign-in — role-based access for doctor, front desk, and patients, with device authorization for practice machines.
Security & privacy — the actual controls
Eyeglass-Man EMR is designed for local-first privacy: patient records are stored on systems controlled by your practice rather than on LookyBox cloud servers. Local storage by itself is not security, and it is not HIPAA compliance — so here is precisely what the software does, what stays on your side, and what is still being built.
● BUILT IN◐ YOUR SIDE○ PLANNED
Data location
● BUILT IN
All records live in a SQLite database and document folders inside the app's data folder on your practice's Mac. LookyBox runs no server that receives patient data. The only outbound connection is the license check-in during the 30-day guarantee window; after that the license is sealed and the app never phones home.
Encryption at rest
◐ YOUR SIDE○ PLANNED
The database file is protected by macOS FileVault full-disk encryption when FileVault is on (System Settings → Privacy & Security). Turn it on for every Mac that runs the EMR. In-app database encryption is planned.
Encryption in transit
◐ YOUR SIDE○ PLANNED
The EMR serves the other devices in your office (front desk, tablets) over your local network only and is never exposed to the internet. That local traffic is plain HTTP today, so run the EMR on a private, password-protected office network — never guest Wi-Fi. HTTPS on the local network is planned.
Account permissions
● BUILT IN
Separate Doctor, Front-desk and Patient (kiosk) accounts. Every server route checks the role: exams, clinical notes and backups are doctor-only, and deleting a patient additionally requires a staff password.
Password policy
● BUILT IN◐ YOUR SIDE○ PLANNED
Passwords are stored as bcrypt hashes, never in plain text. The app ships with starter accounts — change those passwords on day one and use long, unique ones. The software does not yet enforce complexity rules or lock accounts after failed attempts; both are planned.
Sessions
● BUILT IN
Sign-ins expire after 8 hours. Session cookies are HttpOnly and SameSite=Strict, which blocks the common script-theft and cross-site request attacks.
Device security
● BUILT IN◐ YOUR SIDE
A device access code must be entered before any browser on your network can open the EMR. On top of that, use separate macOS user accounts, automatic screen lock and FileVault on every machine that touches patient data.
Backups
● BUILT IN◐ YOUR SIDE
One click creates a timestamped backup folder on the Desktop — database, uploaded documents and scans — and keeps the five most recent. Copy that folder to an encrypted external drive or Time Machine that stays in the office. Never email it or put it in iCloud Drive.
Data export
● BUILT IN○ PLANNED
The backup folder is a complete, open-format export: standard SQLite plus your original files, readable by any tool — no vendor lock-in. Spreadsheet (CSV) export of patient lists is planned.
Audit logging
◐ PARTIAL○ PLANNED
Prescriptions and referrals keep a snapshot audit trail of what was issued and when. A full server-side access log — who viewed or edited which chart — is planned.
Disaster recovery
● BUILT IN
Every backup folder contains step-by-step restore instructions: install the EMR on a replacement Mac, copy the folder in, relaunch. Patients, exams and scanned documents return.
HIPAA
◐ YOUR SIDE
HIPAA compliance is a set of policies your practice maintains — risk analysis, staff training, access rules. Software supports it but cannot deliver it alone. Because no PHI reaches LookyBox, there is nothing for a business-associate agreement to cover; note that in your risk analysis.

How we compare — every major optometry EMR
The industry norm is $200–800 per month, per provider, forever — and most vendors won't even publish a price without a sales call. Here's the whole field, side by side.

Built for the whole world, not just fast Wi-Fi
Cloud EMRs assume perfect internet and a US credit card billed every month. Eyeglass-Man assumes neither — which is why it works in places subscriptions can't.
🚐Mobile exam vans & outreach
Fully offline in the field all day — school screenings, rural routes, mission trips. Charts sync nowhere because they never left the van.
🌍Africa · Asia · the Americas
One payment in your own currency's terms — no monthly USD billing, no service cut-off when a card fails, no pricing tied to another country's economy.
🏥Remote & low-connectivity clinics
Runs entirely on the clinic's own computer. Power and a machine are the only requirements — internet is optional, always.
🔐Data sovereignty
Patient records stay on your machine, in your clinic, in your country. Nothing crosses a border to a foreign cloud — a legal requirement in a growing list of countries.
💻Runs on Mac, Windows or Linux
Built cross-platform — one purchase, install on any of the three. Then Linux — so a clinic anywhere in the world can run a full EMR on a $200 machine, owned outright, no subscriptions, no internet required after setup. One payment covers your platform, no re-buying.
🇺🇸US practices too
The same independence that helps a clinic in Nairobi protects a practice in Dallas: no vendor can raise your rent, because there is no rent.
